Presenter Instructions

Posters

  1.  Posters support: maximum size available ( 83 cm width 195 cm high), posters can be fixed with tape.
  2.  Please ensure that the title of the paper, name(s) of the author(s), and affiliation are displayed on the poster.
  3. There are 4 poster sessions. Each session with 20 posters. Look for your session at the program schedule. You are required to have a presenter at the poster throughout the assigned poster session. You have to collect your poster at the end of the poster session.
  4. Keep in mind that the poster must be readable from 2 meters away.
  5. Please be sure to have your poster also on a USB Flash drive that you bring to the conference, in case you might misplace or lose the poster in transit.

Papers

  1. Presenters will have 15 minutes to give their talks, with 5 additional minutes available for questions from the audience. Please ensure that your talk will not go over the time limit.
  2. A session chair will introduce you, give you updates on the time, and moderate the question period.
  3. Please arrive early to your session to meet the session chair and plan to stay for the full session.
  4. You should bring the materials for your presentation in a USB flash drive 15 minutes before the session starts. A technician will copy your presentation into the presentation computer.
  5. Each room will be equipped with a 4:3 projector and sound connected to a computer with Windows 7, Microsoft Office and Acrobat Reader.
  6. In case you prefer using your laptop (not recommended), it should have a VGA connector (or you should bring your own VGA compatible adapter and test it on-site before).

Interactive Events

These instructions are for contributions accepted in the Interactive Event track (Accepted Interactive Events). However, if you have another type of contribution in the AIED conference or workshops and want to demo your system, see instructions below.

Information for presenters

Presentation facilities will provide tables, chairs, power and wireless Internet connection (WiFi), and possibly also wired connection.

Presenters should provide the rest, including computers and other devices with necessary software installed.

In addition, Interaction Events participant have the opportunity to play a video demoing the system on some TVs around the conference (and within the Interactive Event room). These demos should show how the system works. Requirements of the video are the following:

  • The video should be less than 5 minutes
  • The audio volume will be off, so you may want to use subtitles or other visual cues
  • Subtitles need to be embedded in the video
  • Video format: WMV 9 (Windows Media)
  • Size: 1050 (width) x 576 (height)
  • Frames speed: 25 fps
  • Pixels need to be squared

In order to have the videos available during the conference, we need to receive them by June 7, 2015. Please, send an e-mail to the Interactive Event chairs (Ilya and Olga) with the URL where the video with the above requirments can be downloaded.

Requesting to demo an AIED contribution

In order to demo a system related to an AIED conference/workshop paper/poster, prepare a document with the following information:

  1. Information of the paper/poster where the system to be demoed is published (title, authors, type of contribution)
  2. Half page description of the system functionality to be demoed
  3. The need for any additional requirement to carry out the demo
  4. The video to be displayed in the conference TVs.

Deadline to propose additional demos: June 7, 2015

The number of slots for additional demos is limited. Therefore, in case we receive more request than the number of slots available, a selection in terms of interactivity and potential logistic constraints will be made. Neverhtless, even if the system cannot be demoed in the session due to space limitations, the video will be displayed on the TV screens.
